As you're getting set up, this can help you plan how you want to roll-out everything to your team, caregivers, and clients.
Launching a new system and new processes can be a bit overwhelming. There are a lot of things to consider and it's easy for things to be overlooked. We've compiled a list of items to consider, plan for, and do prior to fully launching Sitter Pro. There may be some tasks that aren't applicable to your agency and that's ok- you don't need to do everything on this list!
Below is a sample timeline you can use to estimate how long it will take to get you up and running. Many tasks may take you more/less time depending on the size of your business and how much time you have to work on set-up tasks.
LEARN
The Sitter team will host 2 1-hour training sessions for you and any other admins on your team. You can schedule these at your convenience.
SET UP
After you complete training, you will be responsible for setting up your services and configurations. The Sitter team can help if you have questions or want to walk through different scenarios to make sure you have everything set up correctly.
INFORM
Once you've got your settings complete, you'll want to notify your caregivers of the new system. We have templates you can use to send the communications in this article. You'll want to include details about the change, next steps they need to complete, and the timeline that you want them to complete it.
TRAIN
Once your caregivers are notified of the change, they'll need to be trained on the system. Their training materials can be accessed here and you will receive a specific link for your agency to track their progress on completing the quiz.
REVIEW
Once your team is trained and everything is set up, you'll want to do a final review before notifying your clients of the new system. Below is a checklist of items to make sure you've got everything covered:

Make sure you've set up your funding method if you are having your service fees paid by a client's credit card. If this is not set up, payments cannot be processed and it will result in a delay to your payments until this is set up.

Test your services with different scenarios to make sure clients will be charged how you want. For example, how much will they pay if there are 3 children on a holiday for a 4 hour job? Need help running these tests? Reach out to the Sitter team and they can run a few tests for you.

Review your caregivers' profiles. Make sure they also have a funding method set up if they are getting paid by credit card or else the payments won't process. Also ensure that they are assigned to the correct service areas, services, and qualifications and are listed as active so they receive job requests.
LAUNCH
Once everything is ready to go, you can officially launch with your clients. Based on your agency, you may want to launch with all of your clients at once or you may want to start with a smaller group to make sure things go smoothly. If you start with a pilot group, you'll want to make sure they know they are a part of the pilot and that you want to hear their feedback. This way, you can take learnings from the small group and apply them before expanding to a larger group. There is also a template for client communications in this article.
