This article walks through how to make manual payments for your clients.
There may be times when you need to charge a client for something outside of a job payment, such as membership fees or placement fees for a full-time nanny. In order to do this, you can charge the client directly from their profile and then export all of your manual charges for reporting. All payments made through this process are subject to the same administration fees as jobs payments made by credit card.
Creating a Manual Charge
From the client's profile, go to the 'Actions' and select 'Create a Manual Charge'. You can then enter the amount you want to charge, select the credit card to charge, and add a description for the charge. This description will be sent to the client in their receipt and will be used in your reporting.
Once you submit this information, you will be prompted to confirm the amount by typing a random name. After confirming the amount, you will receive a 'Success' message if the payment went through. If the charge fails, you will need to try a different credit card for the client.
After the charge is complete, you can see a list of the client's manual charges at the bottom of their profile (note- you may need to refresh the screen to see the latest charge).
Viewing the Manual Charge Report
Similar to the jobs report and client/caregiver reports, you can pull a report of all of your manual charges. To do this, go to the 'Payments' tab in the navigation and select 'Manual Charge Search'. You can use the filters on the top of the page to search for specific jobs.
To export the list, tap on the 'Export to .csv' button above the payments grid. This will send all of your payments to a .csv file for you to use in your reporting.
