Explains the times in the booking process when clients are sent notifications and what is included in each notification.
Clients are automatically notified of the following updates:
- Job is filled/confirmed
- Job is reassigned to a new caregiver
- Job is modified
- Job is canceled
- Ready for checkout (after caregiver has checked out)
- Receipts (credit card payments or cancelation fees)
Clients can set their preferences for if they want to be notified via text, push notification, and/or email. Additionally, these notifications are only sent if notifications are turned on for the service the client booked.
Emails include more information, while the text and push notifications primarily include the action (job confirmed, canceled, etc.) and refer the client to check the app for more information. All email notifications also include your agency name, email, phone number, and website so they can reach you if they have any questions. If they reply to the emails, they will be sent to your agency email address.
Below are more details about what is included in each email.
JOB CONFIRMED
Once a caregiver accepts a job or they are manually assigned by an admin, the client will receive a notification that their job has been confirmed. They will receive confirmation details about the job and caregiver:
- Caregiver name, bio, and photo
- Job date, time, location
- Notes for the caregiver, number of children, service type
JOB REASSIGNED
If a job is manually reassigned by an admin, the client will be notified of the change. They will receive updated information about the job and caregiver:
- New caregiver name, bio, and photo
- Job date, time, location
- Notes for the caregiver, number of children, service type
Please note: this is only when the 'Reassign' action is used. If a caregiver is removed from the job and then it is sent to more caregivers, they will not receive this notification. In this scenario, they will receive a second JOB CONFIRMED notification once a new caregiver is assigned to the job.
JOB MODIFIED
If a job is modified by an admin, the client will be notified of the change if the admin chooses to send them the update. There is a toggle on the 'Modify Job' screen that the admin can select if they want the client to be notified of the update. If this is selected, they will receive updated information about the job and what changed:
- Specific details that were modified
- Updated job details (job date, time, location, number of children, service type, notes to caregiver)
JOB CANCELED
If a job is canceled by an admin, the client will receive a confirmation of the cancelation if the admin chooses to send them the update. There is a toggle on the 'Cancel Job' screen that the admin can select if they want the client to be notified of the update.
If a client cancels a job through the app or the job is canceled automatically because it couldn't be filled, they will receive the automated notification of the cancel.
READY FOR CHECKOUT
After a caregiver checks out of the job, the client will be notified that they can review the job and checkout in the app.
PAYMENT/CANCELATION RECEIPT
If some or all of the client's payment is made by credit card, they will be automatically sent a receipt after their credit card is successfully charged. This will occur for both completed jobs and jobs that are canceled and have a cancelation fee paid by credit card. They will be able to see the amount charged as service fees, caregiver wages, tip/reimbursement, and the total charged.
If nothing is charged to a credit card (i.e. everything set to invoice), they will not receive an automated receipt.
