Explains the times in the booking process when caregivers are sent notifications and the information included in the emails.
There are two ways that Sitter Pro sends notifications to caregivers…
Default notifications: These are sent to automate processes for an agency and share information with a caregiver. The default notifications to caregivers include:
- New job request
- Job taken by another caregiver (only via push notification)
- Job confirmed
- Job modifications for jobs they are assigned to (time change, location change, etc.)
- Job cancelations for jobs they are assigned to
Configurable notifications: These are an extra perk for agencies that allow caregivers to be more on top of pending and confirmed jobs in their caregiver profile. These can be turned on or off at any time by an admin, and the admin also sets the time frame. Configurable notifications to caregivers include:
- Pending job request (X hours after job creation): This reminder is sent when a job has been pending for the time specified in your settings.
- Upcoming job reminders (X hours before job start): This reminder is sent before the confirmed job within the time specified in your settings.
Caregivers can set their preferences for being notified via text, push notification, and/or email. Emails include more information, while text and push notifications primarily include the action (job confirmed, canceled, etc.) and refer the caregiver to check the app for more information. All email notifications also include your agency name, email, phone number, and website so they can reach you with any questions. If they reply to the emails, they will be sent to your agency email address.
Below are more details about what is included in each email.
NEW JOB REQUEST
When a caregiver is sent a job request, they will be able to see the following information and then can go into the app to accept/decline the job.
- Client name and photo
- Job date and time
- Notes for the caregiver, number of children, service type, special considerations
JOB CONFIRMED
Once a caregiver accepts a job or they are manually assigned by an admin, they will receive a notification that their job has been confirmed. They will receive confirmation details about the job and client:
- Client name, family bio, and photo
- Job date, time, and location
- Notes for the caregiver, number of children, service type, special considerations
JOB MODIFIED
If a job is modified by an admin, the caregiver will be notified of the change and will receive updated information about the job and what changed:
- Specific details that were modified
- Updated job details (job date, time, location, number of children, service, notes to caregiver)
JOB CANCELED
If a caregiver is assigned to a job and it is canceled by an admin or the client, the caregiver will receive a notification of the cancelation. They do not need to take any action and their calendar will be re-opened so they can be sent other job requests at that time.
PENDING JOB REQUEST
This optional configuration sends reminders to caregivers based on admin-defined timeframes (X hours after job creation). Admins can toggle this feature on or off and specify the timing for these reminders. If a caregiver has a pending request, they receive a notification prompting them to review the request. The information available for review includes:
- Client name and photo
- Job date and time
- Notes for the caregiver, number of children, service type, special considerations
UPCOMING JOB REMINDER
This optional configuration sends reminders to caregivers for confirmed bookings (X hours before the job starts). Admins can enable or disable this feature and define the timing for these reminders. For upcoming confirmed bookings, a caregiver will receive a reminder with details about the job and client:
- Client name, family bio, and photo
- Job date, time, and location
- Notes for the caregiver, number of children, service type, special considerations
To update your configurable caregiver notifications, click on the 'cog' icon in the top right corner of the system. From there, select 'Settings' and scroll to 'Caregiver Notifications'. Here you can adjust the timing of notifications on your dashboard.
