Getting a new technology (or any type of new process) for you business means a lot of change for everyone- your staff, your caregivers, and your clients. The best way to address the change is head-on.
We've prepared a few sample email templates you can use to communication the launch of Sitter Pro with your clients and caregivers below. For more tips and tricks on communication, check out this blog post.
For these templates, you'll want to update it with more specific information about your agency and processes. Feel free to update, change, add, or delete whatever you'd like!
Email Template 1: Notifying caregivers of the new system
Hello!
We're excited to announce that we are moving our booking and scheduling process to the Sitter Pro system. Sitter Pro is a booking and scheduling system that includes an app that allows you to manage all of your jobs in one place. This will replace our current system of texting and/or calling you about job requests.
With Sitter Pro, you can get temporary care jobs that fit YOUR schedule. Here’s how it works:
- You’ll receive booking requests from our clients and can accept or decline the job.
- During the sit, get directions to the location and view the children’s important information (emergency contacts, allergies, etc.) directly in the app.
- At the end of the sit, you’re responsible for checking out of the job to ensure you get paid the correct amount.
To get started:
- Take this training before downloading the app to become familiar with the functionality so you can answer any questions from parents before using it.
- After completing your training, download "Sitter Pro" in the Apple App or Google Play Store. (Tip: the logo is red with white text!)
- Open the app and tap Register.
- Enter the email address we have on file for you (this address), then create a password to use when logging in. You can change your email address to another one once you're in the app.
- You’ll see your name and cell phone number already entered. Review to ensure it’s correct, then verify your phone number by entering the code sent via text.
- Once verified, you'll be taken to the home screen. You can tap Profile to update your profile, funding method, and general availability so you can start receiving jobs!
To learn more, check out this webpage for FAQs. Please complete your profile by this Friday, as we want to get you set up in the app before releasing this to clients. If you would like help in setting up your profile, we will have open office hours every day this week between 2-5 pm.

Email Template 2: Notifying clients of the new system (only once you're ready to launch with them)

We're excited to announce that we are moving our booking and scheduling process to the Sitter Pro system. Sitter Pro is a booking system that provides an app for our clients to book and pay our caregivers for temporary care with a few taps instead of having to call the office!
To get started:
- Download "Sitter Pro" in the Apple App or Google Play Store. (Tip: the logo is red with white text!)
- Open the app and tap Register.
- Enter the email address we have on file for you (this address), then create a password to use when logging in. You can change your email address to another one once you're in the app.
- You’ll see your name and cell phone number already entered. Review to ensure it’s correct, then verify your phone number by entering the code sent via text.
- Once verified, you'll be taken to the home screen. You can tap 'Profile' and add or update your family details, addresses, emergency contacts, and payment method.
To book one of our caregivers for temporary care:
- Tap “Book” and enter your booking details. You will be able to see an estimated rate that includes all caregiver and agency fees. Your request will be sent to our available caregivers and you’ll receive a notification when one accepts the job.
- During the job, the caregiver will keep track of the time you’re out.
- At the end of the job, simply review the final times and fees. Agency fees will be charged to your credit card and caregiver fees can be paid with cash/check or a credit card and will be noted on the booking.
