Creating the Booking Details
To create a multi-day booking in the system, go to 'Jobs' in the top navigation and select 'Create Job.' From here, you'll be able to add specific details for the booking:
- Service Category: Select the category of the service to narrow down your service list. Can be child care, pet care, companion care, home care, or tutoring.
- Service Type: The type of service will be either 'Booking' or 'Corporate' and will help narrow down your service list.
- Service Name: Select the specific service type the client needs.
- Client: Select the client if they are already in your database. If this is a new client, you can 'add new' to get their basic information entered for the booking.
- Address: If the client already has addresses on their profile, you can select from their list. Otherwise, you can add a new address for them, and this will be added to their profile.
- Add dates: Add the first date of the multi-day booking and click ‘add date.’ After you add the first date and tap save, you’ll see the option in red to ‘+ add date,’ click on that and repeat the process until you’ve added all dates.
- Number of Children: Enter the number of children that will be present for the job. This will be factored into their final pricing.
- Names and Ages of Children: Enter the names and ages of children - on childcare bookings
- Special Considerations: If the family has any special considerations for their job, select all that are applicable. This may be factored into final pricing and caregiver matching.
- Notes for Caregiver: If the family wants the caregiver to have any additional information, it can be left here. This information will be visible to the client and the caregiver in the app.
- Internal Notes: If you have any notes for agency admins, it can be left here. This will not be shared with the client or caregiver.
Sending to Caregivers
Once all of the details and dates of the job have been completed, you will have three options to choose from to send the job to caregivers.
Search for Caregivers:
- This option will generate a list of the best matches for the job based on their availability and qualifications. You can review the list and select as many (or as few) caregivers as you would like to send it to. An admin will be able to see how many days the caregiver has full availability or partial availability for the job, and we’ll show the caregivers who have been favored by the client so you have visibility into the best possible matches.
- Additionally, you can expand the 'All Others' list to view the rest of your caregivers who weren't matched for the job. They are likely not qualified and/or available for the job, but you can still select them if you want to send the job request to them.
- Once you've selected the caregivers you want the request to go to, tap on 'Send Job Request' at the bottom of the screen and the job will be sent, and you will be taken to the job group details screen.
Create Job without Sending
- This option will allow you to save the details of the job you created but won't send it to any caregivers at this time.
- You will need to go into the job group at a later time and search for caregivers to send it to in a bulk action or assign it directly to a caregiver.
Create Job and Send
- This option will run the same matching process as the 'Search for Caregivers' process and send it to all caregivers who are a best match.
- You won't need to review the list or select individual caregivers, and it will only be sent to the ' best matches' for the job.
The Confirmation Process
Once the job is created, you can track the status of the job on the 'Group Details' screen. As caregivers begin to reply to the group request, you can see their responses.
If a caregiver is available for all of the dates on the multi-day booking and accepts all the dates, that caregiver will be assigned to the multi-day booking.
If a caregiver isn’t available for all dates, they can select the dates they can commit to, and the agency can see on 'Multi-day search' they can see the number of people who have responded, and then they can see the details in the group details. If there isn’t a caregiver for all the dates on the multi-day request, the admin can then manage who gets the dates, and they can assign the final caregivers.
