Provides step by step details on creating bookings on behalf of clients in the backend system.
While many clients will choose to create their own bookings in the app, some may still call/email you their information and need you to create the job for them. Below are the steps to follow when creating a booking on their behalf.
Creating the Booking Details
To create a booking in the system, go to 'Jobs' in the top navigation and select 'Create Job'. From here, you will be able to complete the specific details for the job.
- Service Category: Select the category of the service to narrow down your service list. Can be child care, pet care, companion care, home care, or tutoring.
- Service Type: The type of service will be either 'Booking' or 'Corporate' and will help narrow down your service list.
- Service Name: Select the specific service type the client needs.
- Client: Select the client if they are already in your database. If this is a new client, you can 'add new' to get their basic information entered for the booking.
- Address: If the client already has addresses on their profile, you can select from their list. Otherwise, you can add a new address for them and this will be added to their profile.
- Start & End: Select the start date of the job and then update the start time at the bottom of the calendar. Then complete the same process for the end date/time.
- Number of Children: Enter the number of children that will be present for the job. This will be factored into their final pricing.
- Special Considerations: If the family has any special considerations for their job, select all that are applicable. This may be factored into final pricing and caregiver matching.
- Notes for Caregiver: If the family wants the caregiver to have any additional information, it can be left here. This information will be visible to the client and the caregiver in the app.
- Internal Notes: If you have any notes for agency admins, it can be left here. This will not be shared with the client or caregiver.
Assigning Caregivers
Once all of the details of the job have been completed, you will have three options to choose from to get the job assigned to a caregiver.
Search for Caregivers:
- This option will generate a list of the best matches for the job based on their availability and qualifications. You can review this list and select as many (or as few) caregivers as you would like to send it to.
- Additionally, you can expand the 'All Others' list to view the rest of your caregivers who weren't matched for the job. They are likely not qualified and/or available for the job, but you can still select them if you want to send the job request to them.
- Once you've selected the caregivers you want the request to go to, tap on 'Send Job Request' and the job will be submitted and you will be taken to the job details screen.
Create Job without Sending
- This option will allow you to save the details of the job you created, but won't send it to any caregivers at this time.
- You will need to go into the booking at a later time and search for caregivers to send it to or assign it directly to a caregiver.
Create Job and Send
- This option will run the same matching process as the 'Search for Caregivers' process and send it to all caregivers who are a match.
- You won't need to review the list or select individual caregivers and it will only be sent to 'matches' for the job.
Once your job is created, you can track the status of the job on the 'Booking Details' screen. As caregivers begin to answer to the request you can see their responses and when it gets confirmed. You can also select more caregivers to send it to if no one has accepted in an appropriate amount of time.
