If you provide corporate backup care services, this article can help you set up the service and manage their jobs.
Sitter Pro can be used to support both direct clients as well as clients who are using corporate backup care benefits. Corporate backup care services may be jobs that you are filling for backup provider companies such as Bright Horizons, Care.com, and Lifecare or they may contracts that you have directly with businesses to provide their employees with discounted care. This article discusses how you can set up your services if you are working with a backup provider.
Below are a few tips on how to manage these types of services, but you can always adjust to fit your needs.
Creating a Backup Care Service
When creating a service for backup care jobs, the set up process is the same as creating your standard services, but there are a few settings to pay close attention to:
- Service Type You will want to select 'Corporate' for this setting. By selecting 'Corporate', you will have a new field in the job details that will let you track a job ID if you need to tie it to an ID from the provider's job request.
- Service Name Depending on how many corporate backup care services you provide, you'll want to make sure the name accurately reflects the job and company it's for. For example, you may have one service titled 'Bright Horizons Child Care' and one titled 'Bright Horizons Companion Care'. You'll want to set up individual services for each type of service you provide for each company.
- Bookable Online You will want to turn this feature off as their job requests will come to you through another channel (email, portal, etc.) and you don't want other clients to book these offerings.
- Send Client Notifications For you traditional services, you likely always have this feature turned on. However, if you are working with a backup care company, they may be the ones who communicate with the client so you will want to turn off the auto-notifications to make sure they aren't being contacted by both parties.
- Service Fee and Caregiver Wages Payment Method If you are invoicing the company for the payment, you'll want to mark these jobs as payable through invoice. If the fees and wages are both set to invoice, nothing will be charged through the Sitter Pro system. If either is set to have a credit card payment, then the client will be required to have a payment method on file, which you most likely won't have.
- Policies & Rates Since you may have contracts that specify the policies and rates for these jobs, you'll want to make sure these are accurately reflected when you set up your service and aren't just your default settings. For example, you may need to remove your last minute fee if that isn't included in your contract with the backup care company.
- Caregivers Similarly, not all of your caregivers may be qualified for these services, so make sure only the appropriate caregivers are assigned to this service.
Managing Backup Care Jobs
For these jobs, you will receive the requests from the backup provider company and then enter them into the Sitter Pro system. To create a job, you'll need a client to create the job under and you can do this in one of two ways:
1.) Create individual client profiles If the requests provide all of the family information for the job, you can create a profile for them and flag them as a 'Corporate' client so you know they came to you through a corporate partnership.
- Pro: You can track more information about each family and if you have repeat users you're able to better track their history. If you have clients who use your service directly and through a backup care provider, you can use their existing profile for both service types.
- Con: Will require setting up a new profile for each new client.
2.) Create a generic profile You can create a generic company client account and use that for each job you create for the company. If you set up a generic account, you'll need a unique email address to set it up and for the phone number you'll want to list your company phone number so if the caregiver taps to call, it will be sent to you.
- Pro: Keeps all jobs for each company under one client for quicker job creation and you can add a unique address and family notes when you create the jobs.
- Con: If you have clients who use you directly and through the backup provider, you won't be able to pass along the family information you have to caregivers. Similarly, if the corporate company has employees who use your services frequently, you won't be able to easily track their history.
Once you've decided how to structure your corporate clients, you can create their jobs.
In the 'Create Job' tab, you'll select 'Corporate' as the service type and then select the specific service for the job. You'll want to add the client's address and job details as you would any other service. In the caregiver notes, you can include more family information if you haven't created an individual profile for the client (names, ages, any other information provided to you). There is also a 'Corporate Job ID' field that you can use if your provider has job IDs that you want to tie to your job. Then you can send the job to caregivers, just as you would other services.
Caregivers will receive these job requests just as they would your other services. They'll be able to see the service name and know that it's for corporate backup care and can accept/decline the job in the app.
Once the job is confirmed by a caregiver, you may need to notify the backup care provider that it has been filled through their existing process. After your caregivers complete their jobs, they'll need to checkout as they would their other jobs. This will help track their time and you can use it when you invoice their jobs. If the backup care provider has any requirements on client signatures, you'll want to ensure your caregivers are still following that process as well.
Reporting and Invoicing for Corporate Backup Care jobs
To pull reports for corporate backup jobs, go to the 'Job Search' screen and select the service(s) you want to search for. You can filter by corporate as well as the specific services. Once you've filtered for the services and timeframes you need, you can export the data to a CSV file and use it to help with your invoicing.
